Case Study: The Fortress Corporation

Terminal designed a unique data replication and backup configuration, and transitioned Fortress to an efficient managed services solution.

Client Profile

Fortress, headquartered in Boston, offers museum quality storage and moving services for fine art and antiques. Locations include Boston, New York, and Miami.

Situation

The company had files and data replicated across multiple locations in the United States. The process had to accommodate unexpected network issues to provide reliable replication between servers. An automatic script running backups to an external driver was not sufficient protection for data; they would benefit from redundant backups to both local storage and the cloud.

Solution

Terminal partnered with Fortress to troubleshoot immediate replication and backup issues, design a new network solution with improved reliability, and transition to a service plan providing proactive network management.

Terminal's network design solution included the following elements:

  • Purchase of new, reliable HP hardware and licenses for virtual server management and Microsoft's latest server OS.

  • Configuration and shipping of physical servers to locations in remote offices.

  • Deployment of VIPRE, an enterprise grade anti-virus solution, for servers and desktops.

  • Installation of Vistara, a remote 24/7 monitoring solution for unifying IT operations and managing automated security patches, virus updates, and alerts to downtime and other network issues.

  • Migration from an older Exchange version to the latest Office 36 release.

  • Removal of legacy and unused server applications and user accounts.

Results

Since the project was completed, reliability of IT systems improved with technology that could automatically repair replications after system downtime and provide verification of successful backups.

Proactive monitoring has alerted Terminal's engineers whenever server downtime, Internet service disruptions, or power outages occurred. Work on tickets could began immediately. Requests for preventative maintenance on network devices resolved potential issues before they could become problems for their users.

Fortress also saved costs by subscribing to MSPLUS+, Terminal's managed services plan. They received end user help desk support, printer troubleshooting, and other services at no additional charge beyond the flat-rate monthly fee.

Dracut Housing Authority

Terminal designed and installed a new network, using off-the-shelf components, to provide a low cost IT solution for the Dracut Housing Authority.

The Dracut Hosing Authority is a local government organization that offers a high standard of affordable housing for town residents.

Situation

The organization needed an updated network and required a budget solution that could accommodate the funding limits of a local government entity. In addition, the new network had to support specialized HAB housing management software.

Solution

Terminal partnered with the Dracut Housing Authority to design, install, and monitor a new network solution.

Two approaches were used to keep costs to a minimum: purchasing standard, off-the-shelf hardware, and using virtualization.

  • Off-the-shelf Hardware included a basic Hewlett Packard server, desktops, and Windows operating system

  • Virtualization installed all applications on a single server, in a virtual environment that made backups and recovery cheaper, faster, and easier.

The project began with a network audit. A technician from Terminal documented the existing network, including user and computer accounts. All servers, workstations, and network devices were identified.

Work continued with the purchase of hardware and configuration at Terminal's offices. The virtualization environment was installed, and setup was completed for the Windows server and desktop operating systems.

When done, the new network computers and devices were delivered to Dracut Housing Authority's office and deployed. All computers were added to the organization's domain, and tested.

Security was addressed by the installation of VIPRE, a leading enterprise grade anti-virus solution, and by the removal of obsolete user and computer accounts. The server was configured to follow best industry security practices.

Terminal's staff had the expertise to manage the specialized software used by the Dracut Housing Authority. Administration accounts were created in HAB, their housing management application.

Finally, all the network devices were added to Terminal's remote monitoring solution, providing 24/7 alerts of potential issues before they could develop into more serious problems.

Results

  • When the network was down, Terminal's IT command center automatically contacted the Internet Service Provider for more information, confirming that the issue was an area outage and not a problem with the local network.

  • When the server restarted after an unexpected shutdown, the IT center automatically scanned the server remotely to ensure all services were back up and running. No intervention by Dracut Housing Authority's staff was required.

  • After each automated backup was finished, the backup set was automatically tested to make sure it could be booted immediately in the case of an emergency, minimizing downtime.

  • Anti-virus definitions and operating system patches were automatically applied as they were released for continued security.

  • Additional end user support provided the authority's staff with a helpdesk contact for resolving their desktop computer questions.
